Hauling

Your trucks, from the rack to the invoice.

FastDragon Hauling is fuel and DEF delivery software for a jobber’s own trucks. A board with a lane per truck, a driver app on an ordinary phone, and an invoice written the moment the drop is done, costed from the truck’s own supplier bills.

The problem

What usually goes wrong.

  • Tickets riding in the cab for a week before anyone bills them
  • A margin nobody knows until the supplier bill arrives
  • Gallons left on the truck that nobody adds up
Hauling

Three screens.

The stop, the invoice it writes, and the end of the day.

On the truck

The driver’s day on an ordinary phone.

The run opens with the odometer and a pre-trip inspection. At the rack the driver enters the BOL, the PO and the gallons in each compartment, and photographs the BOL. At each stop: scan the QR label on the tank, enter the level before the fill and the meter start and stop, and take a signature and a photo.

  • Gallons to three decimals
  • A “No” on safe to drive holds the truck until the office clears it
  • Keeps working in a dead zone and sends each entry once when signal returns
  • The ticket emailed to the customer with the signature and photo
  • The phone reports where the truck is during the run, and the office sees it on the map
Billing

The drop is the invoice.

When the driver finishes a stop, the order is marked delivered and invoiced. The cost comes from the truck’s own supplier bills, oldest first. Until the bill arrives the gallons are priced from the load or the day’s rack, and the estimate is replaced when the bill lands from DTN, email or the keyboard.

  • Delivery charges per mile, per drop, after hours and weekends from the customer’s terms
  • Tax exempt sites invoiced without the tax, with the basis kept on the site
  • Each tote, tank or machine listed under the product line
  • The load’s lot or batch number printed on every ticket and invoice
  • DEF in jugs, cases, drums or totes, with the count and size beside the gallons
  • Monthly tote rent and per-tote deposits billed automatically
  • Invoices post to the FastDragon ledger
End of day

Loaded, delivered, left, and the gap.

When the run ends the driver enters what is left on the truck. The run shows loaded, delivered, left and the gap in gallons, and names any stop that explains it. A gap over 1 percent of what the truck held alerts the office.

  • Each compartment’s gallons on its own line
  • Leftover gallons carry onto the next run
  • Repeat a run onto another day for a standing route
  • Driver hours handed to payroll
What you get

Hauling in one module.

One record from the rack to the ledger.

  • A dispatch board with a lane per truck and an Unassigned lane
  • Runs of one truck, one driver, one day, repeated for standing routes
  • Every site and truck on the board map, so the dispatcher sets the stop order in a few clicks
  • Each stop’s expected arrival, and a flag on any that will miss its window
  • An “on the way” email to the customer with the arrival time
  • A driver app for the pre-trip, the rack load and every stop
  • An invoice written at the drop, costed from the truck’s supplier bills
  • Loaded, delivered, left and gap at the end of every run
  • DEF on the same truck and run, with QR labels on totes and tanks
  • A lot or batch number on every load, and the certificate of analysis in the customer’s portal
  • Tote rent and deposits billed each month, and a count of your totes at every customer site
  • The quarterly IFTA report from the trucks’ GPS, with days that have no GPS flagged
  • A Form 720 worksheet for federal fuel excise by IRS number
  • The same customers, orders and ledger as the rest of FastDragon

Questions we get

Hauling questions.

What is FastDragon Hauling?

FastDragon Hauling is the delivery module of FastDragon for a jobber or petroleum marketer that runs its own fuel and DEF trucks. It has a dispatch board with a lane per truck, a driver app on an ordinary phone, and an invoice written from each finished drop, costed from the truck’s own supplier bills. It uses the same customers, orders, invoices and ledger as the rest of FastDragon.

Who is FastDragon Hauling built for?

Jobbers and marketers who own trucks and sell the fuel they deliver, from one tank wagon to a fleet, to construction yards, farms, generators, bus barns and other commercial tanks. A carrier that hauls other companies’ fuel and bills freight by the load is better served by a carrier system such as Trimble Fuel Dispatch.

What does Tank Wagon add to Hauling?

Tank Wagon adds the fuel on the truck as inventory: the gallons and cost in every compartment, stock relieved at each pour, inventory on any date, transfers, the end-of-day count, and approving the day before the delivery BOLs and invoices go out. It also carries heating oil routes with degree-day forecasting and wet hose fleets with a ticket line per unit. With Tank Wagon on, the Hauling tab reads Tank Wagon.

Can I run DEF on the same truck as diesel?

Yes. DEF is set up as its own product and rides on the same run as fuel. Totes, tanks, vehicles and generators at a customer site each carry a product, a capacity, a low-level threshold and a printed QR label the driver scans. Each stop records the empty totes to pick up and the number picked up. DEF sold in jugs, cases, drums or totes shows the count and size beside the gallons on the ticket and the invoice.

Does it track lot numbers and certificates of analysis?

Yes. Each load carries its lot or batch number, and the number prints on every delivery ticket and invoice from that load. A certificate of analysis attached to the load is there for the customer to download from their portal.

Does it handle tote rent?

Yes. Monthly tote rent and per-tote deposits are billed automatically, and the deposit is returned when the empty comes back. FastDragon shows how many of your totes sit at every customer site.

Does it take tank monitor readings?

Yes. FastDragon takes tank monitor readings through its readings connection, and the driver or the office can enter a reading too. A reading below a tank’s threshold sends one alert, the board lists the tanks under threshold, and the dispatcher decides whether it becomes an order.

Does it track where the trucks are?

Yes. During a run the driver’s phone reports where the truck is. The office sees each truck on the board map, and the arrival time in the customer’s “on the way” email comes from it.

Does it do IFTA?

Yes. FastDragon builds the quarterly IFTA report from the trucks’ GPS: miles in each state, MPG, and taxable and net gallons, in Excel and PDF. A day with no GPS is flagged on the report. For federal fuel excise, a Form 720 worksheet lays out the gallons by IRS number, also in Excel and PDF.

Does it work with QuickBooks?

Yes. FastDragon connects to QuickBooks Online and exports invoices, QuickBooks Time hours and driver hours in QuickBooks format. Invoices also post to the FastDragon ledger.

What does FastDragon Hauling cost?

FastDragon quotes Hauling to your operation: trucks, drivers and the other modules you run.
